Permits, payments and membership cards for a club that ran everything by email.

KŠRM Submania is a sea sport-fishing club, and RK Submania is a diving club. Hundreds of people apply to them for fishing permits every year. It used to go through an inbox, with each payment checked by hand in mobile banking. We built the platform that handles it now, and the clubs' website.

What was it replacing?

An inbox, a banking app and a Canva template.

Applying
By email, one conversation per applicant.
A self-service portal in Croatian and English that recognises existing members and fills in what it already knows.
The amount
Added up for each person.
The system adds the permit, the club membership and the mandatory federation fee, and emails a payment slip with a barcode.
Payments
Checked by hand in mobile banking and against payment confirmations.
Matched automatically from the bank's daily statement.
Membership cards
Made by hand in Canva every year, and sent out one by one.
A PDF card for every member, with a QR code that shows their status at that moment.

What happens when someone applies now?

They apply online, pay by bank transfer, and the permit arrives by email.

Anyone can apply, not only members. Most take an annual permit, which includes club membership, so the portal is also how the club gets new members.

  1. Apply For an annual, daily, seasonal or special permit. The portal checks eligibility, takes the documents and works out the price.
  2. Get the payment slip One email with the full amount and a barcode to scan in a banking app.
  3. Pay An ordinary bank transfer. The next daily statement from the bank confirms it, with no one at the club looking it up.
  4. Receive the permit Administrators check the documents, the permit is issued and emailed, and new members get their card.

Why not just take card payments?

Card payments aren't worth it for every client. Here, the system reads the bank statement instead.

The club didn't want card fees on every permit. Its bank already emails a statement file every day, so the system reads that instead. It isn't instant, and it doesn't need to be. When a payment is urgent, an administrator can still confirm it by hand.

How does someone prove they're a member?

A scan of the membership card shows whether it's active right now.

Scanning the QR code opens a page that asks for the card number, then shows whether the membership is active at that moment. On the same page, members keep their details and photo up to date.

And the diving club?

Coaches take attendance in an app of their own.

A coach opens the session, finds the members and ticks who came, with a note if something needs remembering. Monthly fees are set in the same place: one default for the club, adjusted per member where needed.
