WorkAutoklub Siget
One booking calendar for the phones, the service desk and an AI assistant.
We designed and built the appointment system Autoklub Siget uses for its automotive service. Service staff and call-centre operators work in it every day, and customers can book themselves at any hour.
- 13,000+
- bookings a year
- 24/7
- self-service booking through the AI assistant
The operators' calendar, with one reservation open beside it: customer, service, status and history.
What was it replacing?
Phone calls, and no shared view of what was already booked.
- Scheduling
- Booked by phone and coordinated by hand.
- One calendar everyone books into.
- Capacity
- Little visibility into what was still free.
- Free places per service and slot, visible as they change.
- Customers
- Incomplete customer data.
- Customer and service history on every booking.
- After hours
- Bookings missed once the phones closed.
- The AI assistant takes bookings at any hour.
What did you build?
One set of booking rules, used by everyone who books.
Operators, service staff and the AI assistant create reservations through the same scheduling core. What follows a booking, from the SMS to the history, works the same way whoever made it.
Who books
Scheduling core
Every reservation passes the same checks before it is saved.
- Working hours and non-working days
- Capacity by service, time and membership type
- Booking restrictions
- A lock on the slot while a reservation is being entered
What follows each booking
Administrators set the rules working hours, holidays, capacity, booking restrictions and SMS templates
How does it know a slot is full?
Capacity is a set of rules, and the strictest one wins.
Operators, service staff and the assistant often book the same hours at once. Administrators set how many bookings each service can take per hour and per half-hour slot, and every booking has to fit all the limits that apply. While a booking is being entered, its slot is held for everyone else.
Is the AI assistant a separate tool?
No. It books into the operators' calendar, under the same rules.
Customers write on web chat or WhatsApp, in their own words. The assistant checks real availability, offers free times and creates the reservation. It shows up in the calendar like any other booking, and the customer gets the usual SMS confirmation.
